Responsibilities

  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives’ calendars and set up meetings
  • Make travel and accommodation arrangements

qualifications

  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills
  • Discretion and confidentiality

  • 6-month contract, Part-time 20 hours per week, 3 days a week
  • Support the Interim CEO with scheduling meetings and managing calendar
  • Set up and manage Board Meetings (onsite and virtually) including:
    • Order and set up lunch for Board Meetings
    • Ensure video links and attendee's list are accurate
    • Coordinate logistics with Interim CEO and Chief People Officer
    • Create materials for meeting and take notes
  • Also, support Executive Artistic Director with calendaring, scheduling, and travel arrangements
  • May also assist with Donor events (if needed and if candidate would like additional hours)
